Adding New Vehicle How To Add New Vehicle

To add new vehicle give Menu Command Vehicle Record. A window will be displayed for Vehicle Record Entry. The various details about the vehicle like Description, Engine #, Chassis #, Colour, Product Group, Unit, Location, Manufacturer, Sale Price, M.R.P., Price, Cost Price, Taxable, VAT %, CST %, Standard Discount, Purchase Date, Sale Date, Customer ID can be entered in the text boxes which are labeled accordingly. You can enter here In Stock Quantity, the stock Value will be calculated automatically.
These data fields or text boxes bound to the Data Control linked to vehicle information database. As you will click one of the four buttons on the data control you will see the text displayed in the bound text boxes change accordingly.
To add new vehicle press command button Add on the Data Command Button Group . The various data field of the product record will become empty so that you can enter a new record and heading of this command button will be changed as Update .
Now you can start typing the appropriate information in the text boxes. To move from one text box / field to another use Tab and Shift Tab keys on the keyboard or use mouse.
The vehicle may be categorized under a Group, The Group of vehicle can be selected by the given drop down list or if it does not exist in the list, you can enter name of the Group in text box, it will be added in the Group List.
The Manufacturer of each vehicle should be entered along with other information like cost price the price at which the goods are bought; sales prices and MRP. To enter Manufacturer Name type the first few distinguishing letters of the name of the Manufacturer in the empty text box and the rest of the name will come automatically or press command button Find to display the List of Suppliers . You can select a name from this list easily.
Various other details about the vehicle like various taxes on it along with its current stock position. Stock value will be calculated at the cost price.
If you want to enter the sales account and purchase account separately in vehicle record select the appropriate Drop Down Combo button Sales A/C or Purchase A/C respectively and select the name from the list.
You do not fill in the History part. The information like name of the customer, purchase date and sale date is filled in automatically when you do the invoicing.
When you have finished entering the record then you can enter another record or do something else. To save your record automatically Tick check box Save All Changes Automatically. If you have not done so you will click the command button Update Record and you will get following messages : "Commit Changes?". If you want to save the record then answer Yes to the above message.
To add another record press command button Add. To close product record press command button Close.

Once the vehicle is purchased and a purchase invoice is made one individual record is created here for each vehicle. But in order to be able to select the vehicle in the invoice all the details of the vehicle should be entered in this vehicle record. For example if you deal in 8 different models of two wheelers then you should set up 8 records here one for each two wheelers according to their price, model name and other details. Now when you purchase any of these model then you will select its name from the vehicle list and in the column in the invoice you will fill the engine name and chassis no. Now a record with this information will be created automatically in the vehicle record. Now you will have 8 blank record and one new record for the purchased vehicle where the engine and chassis no. will be mentioned. When you sell this vehicle you will select this vehicle no. from the list and make the sales invoice. This will cause the vehicle record to be further modified, as it will include now the customer name, date of sale etc. After sale this same record will include the service record for this vehicle as shown in the picture. This service record is also used for maintaining the Services offered by company on new vehicle.
Once the sale is made you can fill in the Sale certificate of the vehicle and print it. The sale certificate can be printed (!) only once ! This is to avoid fraudulent issue of sale certificates. To fill in the details to be mentioned on the sale certificate click the tab marked Sale Certificate.
