 To Create/Edit Sales Bill give Menu Command Job Card Record. Job card window will be displayed. Then press command button Create/Edit Bill. Edit / Delete Sales Invoices window will be displayed. The data control with the caption INVOICE LIST is associated with sales invoices already made. You can scroll it to see the sales invoices and go to appropriate sales invoice. To select any sales invoice enter the sales invoice number in Go to Sales Invoice Frame in sales invoice no. text box. Press command button Go to. The sales invoice with this number will be fetched. If the sales invoice does not exist then a message will be displayed. You can also display a customer wise list of all sales invoices for a period by pressing the command button LIST. The following list will be displayed.

the list will be prepared for a period starting from the start of the current financial year upto the current date. You can prepare the list for any period after entering the period and pressing the command button LIST in the list frame. You can find the sales invoice you want to edit in this list. After bringing this invoice in focus in this list press command button EDIT. This sales invoice will be opened in the edit window. To close the list frame press command button CLOSE.

When the edit window is opened or data control is scrolled some sales invoice controls are in inactive mode or disabled so that you do not make changes accidentally. They are shown in gray colours and they do not respond to any input from you until you opt to actually start edit by pressing command button Edit.

When the sales invoice you want to edit is displayed then press the command button Edit. A message will be displayed asking you if you want to proceed with edit along with the status of the sales invoice. If the status is posted then after edit the sales invoice will be reposted in the ledger. Answer yes if you want to edit the sales invoice. All the sales invoice controls will be made active or enabled so that you can make the desired changes. Make any changes you want to as you do while making a new sales invoice.

If you want to adjust an already prepared credit / debit note of the customer you can adjust its amount against the invoice. To do so press command button Credit Note. This window will be displayed. Check one of the two check boxes marked DEBIT NOTE or CREDIT NOTE. If the DR/CR Note is already prepared then enter its number in the text box marked CR / DR Note No. If this number is found then the amount will come automatically in the text box marked Amount and the net payable is calculated. You can also display a customer wise list of all debit / credit notes for a period by pressing the command button LIST. The following list will be displayed.

When you have entered required sale quantity and free quantity the total of which is more than the current stock of the item then No Stock Flag appears. In other words whenever the stock is about to become negative the no stock flag will show up to warn you that the stock of the shown item is about to become negative. The No Stock Flag will show the total quantity of the item in question along with the quantities in the stock at various locations. The product you selected will be highlighted. You have three options when you get a no stock flag. If you press command button Cancel then the requested item will be removed form the invoice. If you press command button Adjust then you'll get required free and sale quantity of the same product at different locations will be added automatically in the list until the required free and sale quantity is entered in the invoice or products at all the locations are finished. If the adjustment could not be done you will get a message. If you press command button Accept then the sale and free quantity you entered in the invoice will be accepted and the stock will become negative.

Inventory control module of Hitech Financial Accounting can work with the negative stocks. Whenever the item having negative stock is purchased the negative stock amount will be adjusted against the purchased quantity.

To make entry for Hire/Purchase customer press command button H/P Cust given in front of the customer name text box, a window will appear for Hire/Purchase customer record. You have to enter here Hire/Purchase customer's record, his guarantor record, No. of installments, Hire/Purchase Charge (if any ) in this window. To exit from this window press command button Ok , you will return to the sales bill.

Fill the amount paid if any amount is paid by the customer. The memo will become cash memo if it is fully paid. You can also specify the details of the cheque if the payment is received by cheque as shown entry frame.

You can enter the date, number and amount of the cheque along with the name of bank. This information is stored with the invoice. Once you have finished making the changes press command button Save to save any changes you have made. If you do not ask to save the changes they will not be saved automatically and will be lost. Press command button End Edit. You are prompted if you want to save the changes. If you have already saved them or you do not want to save them then answer no.

Once you end edit the sales invoice controls will change once again and some of them will become inactive again. you can edit another sales invoice if you like.

To delete any sales invoice first display it before you using the data control or the Go To command button. Once the sales invoice you want to delete is displayed press command button Delete. You will get a message along with the status of the sales invoice asking you to confirm delete. If you answer yes the sales invoice will be deleted from all places including the ledger.
