To mark the day wise attendance of employees, select the option Attendance Register ( Daywise ) from the Employees menu.
A window will be displayed for entering day wise attendance of employees. This window comprises of three main parts. On the left hand side of the window, a calendar is displayed. On the top of this calendar, two drop down lists are displayed each for month and year respectively. To select the desired year click the arrow mark which is displayed at the end of the field where the current year is written. A list of years starting from 1900 to 2100 will be displayed, with the help of scroll bar you can reach to the desired year and can select it by clicking it.
To select the month click the arrow mark placed at the end of the field where current month is written. A name wise list of twelve months will be displayed. With the help of scroll bar you can reach to the desired month and select it by clicking it. After selecting year and month, corresponding calendar for selected month and year will be displayed. You can click on any of the day to select it. In this way a desired date will be selected.
Only after the date is selected the processing starts.
In the middle there is a panel with the heading, List of Holidays, consisting of the columns date, day and occasion. It displays the list of the holidays.
Finally, in the bottom of the window there are three control tabs Attendance Register , Overtime Register and Work/Leave Summary .
If for the first time operation is to be done during data entry or anytime when new employees are added, then weekly off are marked using Mark Weekly Off command button. When you select this button a dialogue box is displayed which ask you to specify the weekly off day. You can choose the weekly off day from the calendar displayed on the left hand side by clicking on the day you want to select. After selecting the weekly off day, you have to select the Build Table button, so that settings are made accordingly. As soon as you select the weekly off day, the changes also take place in the attendance register automatically and all weekly off days are marked as H, which is short for holidays. Now, you can also mark the holidays in a year using Mark Holiday button. You have to select the date of the holiday by selecting that date in the calendar by using the method described earlier using the mouse. A dialogue box will be displayed in which you have to specify the occasion of the holiday and then choose OK .
After selecting the holidays, you have to select the Build Table button, so that settings are made accordingly. The holidays you have selected will be automatically marked as H in the attendance register. If you want to delete any of the holiday, you have to select that day from the holiday list and then select Delete Row button. A box will be displayed to ask you whether you want to delete that holiday. If you want to delete choose Yes, otherwise choose No. That holiday will be deleted, if you have chosen yes, and H mark will be removed from the attendance register. Now, if you want to delete all the holidays, simply select Clear All button. A box will be displayed for confirming that all holidays are to be deleted. If you choose Yes , all holidays will be deleted and all H marks will be removed from the attendance register. If you choose No , none of the holidays will be deleted. You have options to select either casual worker or permanent worker or both for attendance purposes.
Attendance register is used to mark the attendance of the employees. In the attendance register, name of the employees and the dates of the month which is selected gets displayed.
You can select Legend button to see the marks you have to use in this register. For example, mark P for present and A for absent. To close the drop down list displayed by selecting the Legend button, select Close button which is displayed in place of Legend button. If you want to mark all employees as present on any day, select that day and then select Mark All Present button. All employees will be marked as present on that day. Now, after marking the attendance, to save it, you have to select Save Attendance button.
You can maximize the attendance register by clicking on the button which is displayed second from the top right corner. If you want to change attendance register to its original size, click on the button which is displayed on the right corner.
To print click on the button which is displayed third from the top right corner. For print refer : Print Using Hitech Print Engine
To close the attendance register window, select Close button.
