 Circulation bills are created on the basis of Daily Dispatch Schedule. The Daily Dispatch Schedule is prepared as per the information filled in for publication edition in Publication Record and as per the dispatch schedule defined for the agent in Agent Record. The DDS can be modified by you to reflect the actual position of dispatch for the day. At the end of month the circulation bills are prepared for each agent on the basis of this information in DDS.

To Prepare the circulation bills give menu command Processing / Printing of Bills under main menu Circulation . The circulation bill window will be opened. This window is used for creating the bills and editing or deleting depending on user privilege. Provisional bills can also be created from here. To create circulation bills for any month press the command button marked Create Bills . Another frame as shown below will open up.

 You can change various default information filled in here before processing the bills. You can prepare the bills for one particular category of agents or you can print the bill by selecting just one agent. The default bill period is selected to be current month. You can change the period of DDS which will be used to create the bills. Bill suffix, starting number, bill date and month will be taken from agents category record as defined for the category under which the agent is placed. Now press the command button marked Proceed With Processing . You will be asked if you want to proceed with the processing of the bills displaying your selection of various data. Answer lquote Yes' to proceed. If there are bills which are existing you will be asked if you want to overwrite the bills. If the bill are new there will be no such message. After the bills are created you will see the Ledger Posting window pop up and post the newly created bills.

After the bills are created they are associated with the data control . Now you can edit or delete if you need to. The edit and delete permission can be set by system administrator if it is so required. To learn more click : System Administration and Password Security .

To edit any bill press command button marked Edit Record . When you press it its caption will change to Update Record. Now you can update the bill in any way you like. The no. of copies actually dispatched are marked for each day. This info is also printed in the bill. If there are different set of rates for different weekday the copies <> rates are also calculated. Discount is calculated as per the commission of the news agent which is entered in the Agent record. Press Update Record to update the bill once you have completed all the changes required.

To edit any bill press command button marked Delete Record . When you press it you will be asked if you want to delete the bill. Answer lquote Yes' if you want to delete the bill.

 To print the bill press command button marked Print Bills . A panel like the one showed here will popup. Here you can modify the terms and condition you want to print on the bill. They need to be modified only once. You can also select various options for printing. If you are using laser printer then you can print using windows fonts (check off the check box marked '93 Produce Fast print Output '94) and use border lines to give a neat printing of bills. If you using Dot Matrix Printing the use can DOS based fonts for fast draft mode printing by checking on the Check Box '93 Produce Fast print Output '94.

The printing can be done selectively for agents. You can select the lquote from name' and lquote to name' to selectively print the bills of the selected agents.
