Create New Delivery Challan

To create new Delivery Challan select the option Delivery Challan / Create New Delivery Challan under the main menu option Sales. A window will be displayed to make entries for the new delivery challan. In the delivery challan you have to enter the information as per available like Challan No, Challan Date, Due Date, Customer Ref. No, L/R-M/R No., L/R Date and Mode of Transport. A check box is given for Bill Made, which is automatically checked when bill is created and text box is given for Bill No.
To select a customer name in the delivery challan is very easy. You can type customer code or first part of the name of the customer in the text box marked Customer. The customer name and address will appear in the delivery challan when you press tab for making the next entry. If the code or name you typed here does not match with any of the customer then the customer list will be automatically displayed. You can also press command button Find to dispaly the List of Customers . You can select a name from this list easily. Press command button Ok. The customer name and address will appear in the delivery challan.
If the challan to be made is for sales select the check box Sales Order or else it is job then select the check box Job Order.
In case of job order a new product name can be entered, the system will accept it and will not display any product list if the product name entered does not match with standard product list. One more remarkable difference in case of job order is that multi line description of product is possible but if the number of characters reaches to 250 then system stops accepting further characters. To move to the next line of same item use the key board key combination Ctrl + Enter and to move to the next item in the next line use the key Enter.
To select a product name is also very easy. You can type product code in column 1 of the grid (item code) or first part of the name of the product in the column 2 of the grid (product).The product code, Product/Job, Unit, Qty, Rate, Amount, Remarks will appear in the sales order when you press tab for making the next entry. If the code or name you typed in the columns do not match with any of the product then the product list will be automatically displayed. You can also press command button Products List or double click the grid in col 1 or 2 to display the List of Products You can select multiple products by tagging them and specify their quantity in this list easily. Press command button OK. All the selected products and quantities with other details will appear in the delivery challan.
The delivery challan can be made for already existing quotations by clicking on command button Quotations , a small window named List of Quotations will be displayed, You can select quotation no. by double click on quotation no. from this list. A product list of that quotation will be displayed in delivery challan.
The delivery challan can be made for existing sales order by double clicking on P.O. No. , a small window named List of Orders will be displayed, you can select order no. by double clicking on deliverd order no. from this list. A product list of that order will be displayed in delivery challan.
When you have finished making entries then press command button New on the Memo Command Button Group / Panel to save this delivery challan and go on to make new delivery challan. You will asked whether you want to save the delivery challan. Answer Yes if you want to do so. The delivery challan will be saved and new delivery challan will be displayed. You can also click Edit Mode directly. If you want to make no more delivery challans press command button CLOSE . You will be asked if you want to save the delivery challan. After your response the delivery challan entry window will close and you will return to main program window.
At the bottom of the window there is shortcut panel. It contains list of functions keys to makes faster entry. On pressing various function keys the facilities we get are as follows. These commands can also be issued through the panel.
F2 : Select Customer. Instead of clicking on command button Find Cust we can directly display the list of customers by pressing this function key.
F3 : Show the list of products. Same as Find Prod .
F4 : New delivery challan. Instead of clicking on command button New we can directly display the window for editing New delivery challan by pressing this function key. And you can close this window directly by pressing function key F10 : Close delivery challan Entry.
F5 : Switch to Edit mode or to Add Mode.
F6 : Print the current delivery challan.
F7 : Delete the current delivery challan.
F9 : Show the list of existing delivery challans. Works only in Edit Mode.
F12 : Popup the Calculator.
When you use tab key the cursor will move to different boxes and if the data is already written on that box and you try to enter any entry it will be overwritten.
If you want to make no more delivery challans press command button Close. You will be asked if you want to save the delivery challan. After your response the sales order entry window will close and you will return to main program window.
To print the Delivery Challan press command button Print. A dialog box will appear with the message " DO YOU WANT TO USE FASTER PRINT ENGINE ? " if you answer yes, it will print the delivery challan in text mode or if you answer No to the dialog box it will print the delivery challan using windows fonts.
