To prepare Aged Invoice Interest Distribution Invoice give menu command Aged Invoice Interest Note A window with the names of companies will be opened.

Select the name of the company in the list and double click it or press the commandbutton OK.

The appropriate memo number will be selected automatically. Suffix /DC will be added to this number to denote that this is a Customer Debit / Credit Note. The window will open for creating debit note. The check box marked DEBIT NOTE will be checked ( X ).The window will have heading : Debit Note. A read only check box marked INTEREST will be checked to denote that it is a Interest Debit Note for aged invoice ( unpaid invoice ).

To calculate interest for all aged (pending) invoices of any customer is very easy. Press command button Find to display the List of Customers You can select a name from this list easily.Press command button OK . The customer name and address will appear in the memo. The memo due date will change accordingly if the Due Days are defined for that customer in the customer record. Following panel showing all the pending bills of that customer as on the current system date will become visible. This panel will show the As on Date and the Interest Rate. By default they are taken as the current system date and 24 % respectively. Details like invoice number, date, amount alongwith the due days ( no of days from the due date to the as on date ) will be given. The interest calculated on each invoice will be shown. If you want to change the interest rate or the as on date then after changing them press command button Recal to perform interest recalculation. Press command button OK . The particulars for each of the aged invoice including all the details will be made and entered in the grid automatically alongwith the amount. The total amount to be debited will be calculated below.

You can also specify the sales a/c for this memo by selecting a account name form the combo displaying account names. Customer debit will be posted in this account in ledger. You can also enter a remark in the memo.

If you want to make more entries in the grid you can them in the grid . The total of all the entries will be made at the end of the note. When you save this interest note then the total amount will be posted in the ledger in the account of the customer and the selected sales account.

To delete any row from this grid press command button Del Row .

Fill in the amount paid if any amount is paid. The memo will become cash memo if it is fully paid. You can also specify the details of the cheque if the payment is received by cheque as shown in entry frame.

You can enter the date, number and amount of the cheque along with the name of bank.This information is stored with the memo.

When you have finished making entries then press command button New Invoice to save this memo and go on to make new memo. You will asked whether you want to save the memo. Answer Yes if you want to do so. The memo will be saved and new memo will be displayed. To print the memo press command button PRINT . Print dialogue will be displayed. You can specify the number of copies here. If you want to cancel printing press command button CANCEL . If you want to go ahead with printing press command button OK . If you want to setup printer press command button CANCEL . If you want to make no more memos press command button CLOSE . You will be asked if you want to save the memo. After your response the memo entry window will close and you will return to main program window.

All memos when they are saved are posted in the ledger automatically if the Post Ledger Automatically check box is checked in the invoicing preference setup.

As long as the memo entry window is displayed you can do nothing else but making the memo entry. The main menu will become accessible only when you close the memo entry window.
